Cloud (SaaS) Guide

Capptro Cloud is the hosted version of Capptro — no installation, no server management, just sign up and start managing your jobs. This guide covers everything specific to the cloud version.

Getting Started with Capptro Cloud

1. Create Your Account

  1. Visit portal.capptro.com
  2. Enter your name, email, company name, and create a password
  3. Your 14-day free trial starts immediately with full Pro features
  4. No credit card is required for the trial
Existing Download Users: If you already have a download portal account, you can use the same email to start a cloud trial. You'll be prompted to enter your existing password to link the accounts.

2. Choose a Business Template

After registration, you'll be prompted to select a business template that matches your industry. This pre-configures your workflow steps, priority levels, and custom fields. You can change this later from Settings.

3. Start Using Capptro

Once your template is applied, you're ready to go:

  1. Add your first customers
  2. Create your first work items
  3. Customise workflow steps and features as needed
  4. Invite team members via User Management

SaaS Portal Dashboard

The SaaS Portal (portal.capptro.com) is your subscription management hub. From here you can:

  • Launch App: Click "Launch Capptro" to open the application via secure SSO
  • Manage Subscription: View your current plan, upgrade, or cancel
  • View Usage: Monitor your user count and storage usage
  • Billing: View payment history and update payment methods

How Login Works (SSO)

Capptro Cloud uses Single Sign-On (SSO) between the portal and the application:

  1. You log in to the SaaS Portal with your email and password
  2. Click "Launch Capptro" on the dashboard
  3. The portal generates a secure, time-limited SSO token
  4. The app validates the token and creates your session automatically
  5. You're logged in to the app with your organization's data isolated

This means you only need one set of credentials for both the portal and the application.

Multi-Tenant Data Isolation

Capptro Cloud is a multi-tenant application. This means:

  • Your data is completely isolated from other organizations
  • Every database query is filtered by your organization ID
  • You can only see and modify your own work items, customers, and settings
  • File uploads are stored in organization-specific directories
  • Workflow steps, priorities, and features are configured per-organization

Subscription Management

Starting a Subscription

Once your 14-day trial has expired:

  1. Log in to the SaaS Portal
  2. You'll be redirected to the plan selection page
  3. Choose Standard or Pro
  4. Complete payment via Stripe or PayPal
  5. Your subscription is activated immediately

Note: Plan selection is only available after your trial period ends. During the trial you have full access to all Pro features at no cost.

Upgrading Your Plan

Upgrade from Standard to Pro at any time from the portal dashboard. The upgrade takes effect immediately.

Cancelling Your Subscription

You can cancel your subscription at any time. Your access continues until the end of the current billing period. After cancellation, your data is retained for 30 days before being deleted.

Payment Methods

Capptro Cloud accepts:

  • Stripe: All major credit and debit cards (Visa, MasterCard, American Express)
  • PayPal: Pay via your PayPal account or PayPal-supported payment methods

Payments are processed securely. Capptro does not store your full card details.

Currency Support

Prices are displayed in your local currency where available:

  • USD (US Dollar) — Default
  • ZAR (South African Rand)
  • AUD (Australian Dollar)
  • EUR (Euro)
  • GBP (British Pound)

Currency is auto-detected based on your location, but you can change it manually on the pricing page.

Switching Between Cloud and Self-Hosted

If you decide to switch from Cloud to Self-Hosted (or vice versa), contact our support team. We can assist with:

  • Exporting your data (customers, work items, archive)
  • Importing data into a self-hosted installation
  • Transferring your workflow configuration
