Archive
The archive system lets you move completed work items out of the active dashboard while preserving all their data. Archived items can be viewed, searched, and restored at any time.
Why Archive?
- Keep the dashboard clean: Only active jobs appear on the main dashboard
- Preserve history: All work item data, line items, files, and audit trails are kept
- Improve performance: Fewer active items means faster dashboard loading
- Reference past work: Easily look up past jobs for repeat orders or disputes
Archiving a Work Item
- Open the work item you want to archive
- Click the Archive button
- Confirm when prompted
The work item, all its line items (details), and attached files are moved to the archive tables. The item disappears from the active dashboard.
Viewing Archived Items
- Click the Archive tab on the dashboard
- Browse or search through archived work items
- Click on any archived item to view its full details, including all line items and specifications
The archive view shows:
- Work Item ID
- Title
- Customer
- Final workflow step
- Creation date
- Archive date
Restoring an Archived Item
If you need to reactivate an archived work item (e.g., a repeat order, a returned job, or an item archived by mistake):
- Navigate to the Archive tab
- Find the work item
- Click Unarchive (or Restore)
- The work item returns to the active dashboard in its original workflow step
What Gets Archived
When a work item is archived, the following data is moved to archive tables:
- The work item record with all fields
- All line items (work item details)
- File attachments and references (Pro)
- An archive timestamp is added for reference
Archive Storage
There is no limit on the number of archived items. For self-hosted installations, archived data uses your database storage. For cloud (SaaS) users, archived items are included in your plan's storage allocation.
Searching the Archive
Use the search function within the archive view to find items by:
- Work Item ID
- Customer name
- Title or description
- Date range
